Define What an AI Maintenance Retainer Does Not Include
Separate monitoring, repairs and new development in an AI support offer. Make responsibilities and exclusions clear before proposing recurring work.

“Ongoing AI support” can mean a monthly check-in to one person and unlimited new development to another. A recurring offer needs a more precise description before either party can judge whether it is useful.
Start with the existing workflow and the maintenance it actually requires. Do not invent a retainer simply because recurring revenue sounds attractive.
Separate three kinds of work
- Monitoring: checking agreed signals or reports at a defined interval.
- Repair: investigating and correcting a problem within the existing agreed scope.
- Change: adding a new use case, integration or behavior.
These categories are a proposal-writing aid. The agreement must define what is included, who is responsible and how work outside scope is handled.
Describe a real maintenance task
For an illustrative internal drafting workflow, a monthly review might examine a permitted sample of outputs and staff-reported errors. The deliverable could be a short findings report with recommended changes. That is different from promising uninterrupted service or automatic correction of every future model behavior.
Specify who supplies examples and who approves any changes. If the client cannot provide access or feedback, explain how that affects the work.
Make response language unambiguous
Distinguish acknowledgement from resolution. State the supported communication channel and working arrangement rather than using “priority support” without an explanation.
List third-party subscription costs separately where relevant. Confirm who controls those accounts and how vendor changes will be evaluated. Do not guarantee outcomes controlled by a provider outside the engagement.
Provide a useful stopping point
Explain how the client can end the arrangement under the agreed terms and what information they receive at handoff. Include current configuration notes, unresolved issues and responsibility for continued operation as appropriate.
